Job Description
The Financial & Executive Assistant will play a mixed role, managing both financial processes, such as: issuing and collecting invoices and payments to suppliers, communication with the accounting team, as well as administrative support for the office and the executive team.
Financial Responsibilities
- Will issue and manage invoices emitted to customers;
- Will manage invoices and payments from suppliers;
- Will pay salaries to employees;
- Will offer assistance in preparing financial statements, reports and budgets;
- Will be responsible for processing and reconciling invoices, expenses and payments;
- Will provide assistance in cash flow management;
- Will provide assistance in performing financial analysis and preparing financial forecasts;
- Will be responsible for ensuring a good collaboration between the company and the accounting firm.
Executive Assistant Responsibilities
- Will organize internal and external meetings and contribute to their preparation;
- Will provide general support to the unit in which he / she operates;
- Will manage the executive agenda and coordinate schedules;
- Will represent the executive director at meetings when he is not present;
- Will respond to requests for information and documentation tactfully, discreetly and confidentially;
- Will provide internal administrative services to staff members within the unit;
- Will organize, manage and archive complex / confidential / financial / technical documentation under appropriate confidentiality circumstances;
- Will prepare documentation in a timely manner for business meetings, communicating with the other assistant directors to ensure an efficient information flow;
- Will carry out a series of secretarial activities, such as: typing, drafting documents, translations, providing operational support;
- Will perform various administrative or support activities, requested by the direct superior, regarding the employees’ activity (attendance, statements, etc.).
Required Qualifications & Competences
- Higher education in finance or relevant field;
- Skills in organizing events & managing agendas;
- In-depth knowledge of computer tools, especially Microsoft Office (Word, Excel, PowerPoint & Outlook) and, preferably, an electronic invoice management system (Smartbill, Facturis, 2Invoice, etc.);
- Excellent knowledge of English, written and spoken (B2 / C1);
- Strong communication and organizational skills;
- A high degree of responsibility and initiative spirit;
- High level of integrity.
Working Schedule
Full-time, Monday to Friday, from 9AM to 6PM
(1 hour break from 1PM to 2PM)
